This privacy policy describes how your personal information is collected, used, stored and shared when you purchase goods or services from Sarah Weaver or contact us through any method including but not exclusive to; Email, WhatsApp, text message, Facebook and Instagram. This policy also includes the information you give us when you sign up for any promotion, free or paid or visit our website hosted by WIX.com, www.thewellbeingnutritioinist.com. The Wellbeing Nutritionist, Sarah Weaver acts as data controller, and we are responsible for your personal data (referred to as "we", "us" or "our" in this privacy notice). We keep our privacy policy under review, the last time this was updated was in June 2024.

It is very important to us that the data we hold about you is correct and accurate. You always have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection issues (www.ico.org.uk) if you are unhappy with how I collect your data. I would like to resolve any issues and would be grateful if you would contact me first so I can make things right. 1. What we do

The Wellbeing Nutritionist, Sarah Weaver is a Holistic Therapist, Health Coach and Nutritionist. Sarah Weaver does not offer therapy or counselling services. Services are offered online, by telephone, in groups or face-to-face.

2. How we obtain your personal data

We at all times protect your personal data, including any health or personal details, in a manner which is consistent with our duty of professional confidence and the requirements of the General Data Protection Regulation (GDPR). We will take reasonable security measures to protect the storage of your personal data. We will not sell, distribute, or lease your personal information to third parties unless we have your permission or are required by law to do so. If justified in the public interest or required by law, e.g to safeguard an individual, prevent a serious crime, or protect you from immediate harm from yourself or from others, we have a requirement by law to provide information, we may do this without your consent if there is a compelling reason to do so. We may use your personal information to send you promotional information about third parties which we think you may find interesting if you tell us that you wish this to happen. We may collect your personal data using several different methods including firsthand interactions and communication - you may provide data to us by completing forms on our website, face to face or by communicating with us on the telephone, email, zoom or otherwise. Some of the ways we may collect your personal information are: when you attend an event with us, purchase any of our products or services, communicate with us in any way online, when you subscribe to receive our free or paid resources, when you subscribe to our email list, when you provide us with feedback, by entering a competition prize draw, complete a survey, if you complete a discovery call, or complete or fill in a contact form. Please note: by providing us with your data, you are declaring that you are over 18 years old.

3. What are your rights?

Every individual has the right to see, amend, delete or have a copy, of data held that can identify you, with some exceptions. You do not need to give a reason to see your data. If you want to access your data you must make a subject access request in to us by writing to us at: hello@thewellbeingnutritionist.com. Under special circumstances, we have the right to withhold certain information. We shall respond within 21 working days from the point of receiving the request and all necessary information from you. Our response will include the details of the personal data we hold on you including: Sources from which we acquired the information, the purpose of processing the information. You have the right, subject to exemptions, to ask to: Have your information deleted, have your information corrected or updated where it is no longer accurate, ask us to stop processing information about you where we are not required to do so by law or the UKHCA guidelines. Receive a copy of your personal data, which you have provided to us, in a structured, commonly used and machine-readable format and have the right to transmit that data to another controller, without hindrance from us. 4. How long we hold your confidential data

The Wellbeing Nutritionist, Sarah Weaver, keeps all personal records for 7 years. Records are processed, stored and distroyed in line with current GDPR. 

 

5. What data we collect about you

Personal data means any information capable of identifying an individual. It does not include anonymised data. We may process certain types of personal data about you as follows: identity data includes your first name and last name, address, date of birth, email address or telephone number. We are legally required to collect health related data about you in order to maintain your health and safety if you receive any in-person holistic therapy treatment, and we may also ask you for some minimal health information about you if you attend any in-person event - this information is used to maintain your health and safety. Contact data may include your billing address, delivery address, telephone number and email address. Transaction data may include details about payments between us and other details of purchases made by you. Technical data may include your login data, internet protocol addresses, browser type and version, browser plug-in types and versions, time zone setting and location, operating system and platform and other technology on the devices you use to access this site. Profile data may include your username and password, purchases or orders, your interests, preferences, feedback and survey responses. Usage data may include information about how you use my website, products and services. Marketing and communications data may include your preferences in receiving marketing communications from me and our third parties and communication preferences. We may also process aggregated data from your personal data, but this data does not reveal your identity and as such in itself is not personal data. An example of this is when we review your usage data to work out the percentage of website users using a specific feature of our site.

6. Automated technologies

As you use www.thewellbeingnutritionist.com we may automatically collect technical data about your equipment, browsing actions and usage patterns. We collect this data by using cookies, server logs and similar technologies. We may also receive technical data about you if you visit other websites that use my cookies. We also collect your data through my analytics provider (using browser cookies) – Google which is based outside the EU. However, this data is anonymous. You may receive marketing and communications from me if you have signed up for any of my free or paid products, subscriptions or offers, or if you have contacted us through the website or by any other means of communication. You have the right to opt out of marketing communications at any time by clicking the "unsubscribe" link at the bottom of all newsletters and emails.

7. How we use your personal data

The Wellbeing Nutritionist, Sarah Weaver, will only use your personal data when legally permitted. We will use your data to perform a contract, service or digital delivery of a free or paid product or service, allow you access to an online platform or app, give you access to what you've signed up for or if there is a legal need to comply with regulatory obligation such as UK HMRC, or under lawful circumstance. We will collect and store some personal information about you to maintain a personal relationship and provide a personal service for you. This includes your identity, contact details, personal profile, marketing and a record of any communications we have with each other. We legally need to hold a record for any holistic therapy session, retreat, event or coaching session that you receive from us. We are registered with and abide by the FHT Code of Conduct and Professional Practice. When obtaining any personal data it is collected, processed, stored and distroyed in line with current GDPR. We may also ask if you are happy to share emergency contact details in the case of an emergency with us when you attend an in-person event or service.

8. International transfers

Countries outside of the European Economic Area (EEA) do not always offer the same levels of protection to your personal data, so European law has prohibited transfers of personal data outside of the EEA unless the transfer meets certain criteria. Many of our third-party service providers are based outside the European Economic Area (EEA) so their processing of your personal data will involve a transfer of data outside the EEA. Whenever we transfer your personal data out of the EEA, we will endeavour to do our very best to ensure a similar degree of security of data by ensuring at least one of the following safeguards is implemented: we only transfer your personal data to countries that have been deemed to provide an adequate level of protection for personal data by the European Commission. We may request your explicit consent to the specific transfer. You will have the right to withdraw this consent at any time. Companies we work with who use your data to provide the functionality, email software, product or service purchase and appointment scheduling include but may not be exclusive to: Google file sharing, Stripe (payment system), Attract Well (collection of contact information, subscription courses, email list, appointments, payments, zoom, community platform), Calendly, Facebook (Advertising account and for blog/video post comments), Instagram (Advertising account and for blog/video post comments), Cognito Forms, Eventbrite, BookRetreats.
